Payroll in Berlin – on time, complete, without follow-up questions

Payroll runs on a fixed rhythm: it has to be ready by the end of the month, the filings have to go out, and everything has to be traceable if there is an audit. We take on this rhythm completely – from a mini-job to around 150 employees, in a single business or across several companies under one owner.

In most cases payroll runs alongside ongoing bookkeeping, because both rely on the same figures. But it works just as well on its own.

What we take care of for you

  • Ongoing wage and salary accounting
  • Preparing wage tax filings
  • Contribution statements and social security filings
  • Filings and certificates for health insurers, the Minijob-Zentrale and the trade association (Berufsgenossenschaft)
  • Earnings and employment certificates, U1/U2 reimbursement claims
  • Payroll for mini-jobs, midi-jobs, temporary staff and variable hours
  • Providing your payroll records and reports when an audit is due

Good to know

We calculate payroll according to the rules that have been clarified with you. If a question requires a legal assessment under labour law, collective agreements or social security law, we will tell you – and who you can turn to for that.

Why payroll is the most sensitive part of bookkeeping

Employees usually notice mistakes in a payslip immediately – unlike in many other areas of bookkeeping. Payroll is the area where errors become visible fastest and cost the most trust, both internally and with health insurers and the tax office.

On top of that comes the pace of legal changes: contribution ceilings, benefit-in-kind values, minimum wage, long-term care insurance surcharges based on number of children, electronic certificates of incapacity for work. This density makes payroll that is only handled on the side unnecessarily risky.

What you provide, what we do

You report the month’s changes to us by a fixed deadline: starters, leavers, hours, sick days, holiday, special payments. Everything else runs on our end. You receive the finished payslips, the payment list for wages, the contribution statements and the posting list for the general bookkeeping.

A structured file or a time-tracking export is enough for the handover. If you are still working with slips of paper, we will set up something simpler together – that saves time on both sides.

Industries with special requirements

Care services: shift, night and public-holiday surcharges, time surcharges under collective agreements, relief-staff assignments. Here, care in time tracking decides whether the payroll is correct.

Hospitality and retail: a high share of temporary staff and mini-jobs, fluctuating hours, staff turnover. We set up the process so that starts and leavers are never left unregistered.

Staffing services: assignment-based billing, industry surcharges and equal pay under the collective agreement terms you hand to us already clarified. Demanding, but manageable – if the underlying data is right.

When the audit comes

The German pension insurance (Deutsche Rentenversicherung) generally audits at least every four years, and the tax office reviews wage tax at irregular intervals. When the notice arrives, your records and reports are already sitting with us, finished, organised and traceable. Gathering everything together is, in our experience, the part that causes the most stress – and you will already have that behind you.

Security of sensitive personnel data

Payroll data is among the most sensitive data a business holds. For personnel and payroll data we provide protected transmission channels and actually use them – open email attachments and messenger apps are not intended for this. Where we process data on your behalf, we conclude a data processing agreement with you. Details are in our privacy policy.
